Invoice data entry automation for accounting teams

Accounting teams still open a PDF, type the vendor, date, and total, then do it again for the next fifty. Tervexa turns that pile into structured records: extract the fields, check them against your rules, and send only the odd ones to a person.

Talk through this build

Where the hours actually go

The slow part is not “AI.” It is vendors who change layouts, invoices that arrive as email photos, and totals that do not match the purchase order. A useful system names those cases instead of pretending every PDF is clean.

Extract, check, then post

We pull vendor, invoice number, dates, line items, and totals into fields your accounting tool can accept. Rules catch duplicates, missing PO numbers, and amounts outside a tolerance. Staff review the exceptions. The rest can post without another round of typing.

Works with the ledger you already have

QuickBooks, an ERP, or a homegrown ledger can stay. We build the pipe between the inbox and that system, including a record of what was extracted and who approved an exception.

What you can measure after go-live

Cycle time from email to posted bill, exception rate, and hours no longer spent retyping. If those numbers do not move, the workflow is wrong — we tune the rules with the people who close the books.

FAQs

Will this auto-post every invoice?
No. Clean invoices can follow a rule. Anything ambiguous waits for a person. That is how you avoid silent posting errors.
What if vendors send photos or scanned paper?
Those are in scope. Image quality and handwriting change accuracy, so the review queue is part of the design, not an afterthought.
Can this connect to QuickBooks?
Yes. QuickBooks and similar ledgers are a common endpoint. See our QuickBooks integration work if the books are only one of several systems that need the same bill.
